Terms and conditions
• By making your booking you are entering into a legally binding agreement. Carreg Adventure cannot guarantee dates chosen for any event or stay are held until an agreed non-refundable deposit, typically 10% of the total cost, and a written booking and agreement of our terms and conditions are received.
• A 40% non-refundable deposit of the cost is required 12 weeks prior to your date of commencement. Should this payment not be received by the required date, we reserve the right to cancel the booking without notice.
• Full payment is to be made with confirmation of final numbers no later than 14 days prior to the commencement of any event or trip. Should this payment not be received by the required date, we will be obliged to cancel the booking without notice.
• Any cancellations made within 14 days will not be eligible for any refunds.
• We can only guarantee venue exclusivity to clients that have booked for 40 or more participants. Bookings with 39 or less guests may stay alongside another age appropriate booking.
• Exclusive bookings of 40 or more will need to confirm and commit upon payment of the scheduled 10% instalment. Should your final numbers then fall below a total of 34 participants (I.e the 40 booked with a 15% tolerance), the full payment for 34 will still be owed.
• Accommodation booking for any event outside of a school residential stay is to be finalised and received 4 weeks before the event date. Payment for accommodation must be made at the time of booking by guests.
• In the event of non-availability of accommodation, Carreg Adventure would attempt to offer you alternative accommodation. If this was not possible or unacceptable to you, then we would refund all monies paid for your accommodation. Our liability would not extend beyond this.
• The booking individual or booking organisation will be responsible for any damage to the house or its grounds by themselves, any third party contractor, or their guests, and shall be liable for the cost of such damage. They will also be liable for any costs directly incurred for soiling of any rooms (including bedrooms).
• The venue reserves the right to judge acceptable levels of noise and behaviour of the clients, guests or representatives, and the client must take all necessary action to correct. In the event of failure to comply with managements requests, the venue reserves the right to terminate the contract and stop the event without being liable for any refund or compensation. In such an event, guests will be removed from site.
• Carreg Adventure reserve the right to amend or change programmes as they see fit, but endeavour to make all parties aware of such changes.
• The activities on site are suitable for children over the age of 5 years, and persons under 130kg.
• It is recommended that travel or wedding insurance is taken out to cover against cancellation, curtailment, personal accident, personal liability, loss, damage or theft.
• Carreg Adventure has public liability insurance and Employers liability insurance and only accepts responsibility for loss, damage or injury resulting from negligence by Carreg Adventure.
• All prices quoted are excluding VAT at the standard rate, unless specified otherwise.
• Finalised menus (including any special dietary requirements) and information on any medical, or disability requirements must be confirmed 2 weeks prior to the date of event or trip. Carreg Adventure cannot guarantee that any requirements given after this date can be catered to.
• In the event of increased taxation or other increased cost beyond the control of the venue, we reserve the right to vary prices without prior notice.
• Use of the catering kitchen and cold storage is not permitted to clients or guests for reasons of food hygiene and cross contamination.
• We do not permit the use of outside caterers.
• No alcoholic drinks or food may be brought onto the premises without prior agreement and consent.
• Prior consent of the venue must be sought for any entertainment or service contracted for any function by the client.
• We do not permit the use of fireworks or sky lanterns.
• We must be notified of lost property within 2 weeks. Any items found are disposed of after this period.
• No pets are permitted within the house or the grounds of Carreg Adventure.
• Access to Stouthall is by booking and appointment only. No persons are permitted onto this closed site without permission and will be escorted off the premises.
• Despite all precautions taken by Carreg Adventure, there may still be complaints. Such complaints should be taken up with a member of the Carreg Adventure team on location. If the complaint cannot be resolved in a satisfactory manner, a written complaint can be submitted to Carreg Adventure.
• Carreg Adventure reserve the right to alter and amend these terms and conditions at any time.
