Planning your day

Weddings can be stressful business but here at Carreg Adventure we know just what it takes to make everything run smoothly and stress-free. Of course weddings with us are a little different so our staff are on hand to help you coordinate the day, getting the most out of our unique venue.

Meetings

Regular meetings are important to get all the details agreed without putting too much pressure on you to make quick decisions. Meetings will be scheduled as follows:

8 months before the wedding - This initial meeting may take place at the time of booking. This will simply be an informal chat to get some basic details and an idea of what you are looking for out of your celebration. We will also go through our wedding booking information form, simply to help you consider the things you'll need to think about over the coming months (e.g. married names, florists, decorations, wedding cake, etc.).

3 months before the wedding - This meeting will be where we start to nail down the detail of the wedding in order to put together an itinerary of the day and a detailed full quotation.

4 weeks before the wedding - This will be our final meeting before the big day. It will give us an opportunity to address any last minute changes or queries and formalise the final numbers for your final invoice.
Tastings
The menu options for your wedding day are endless so it can be a difficult decision. To help, we put on a number of tasting evenings to give an opportunity to try some of the options on offer. Make sure you book your place and let us know if there is something specific you'd like to try, along with any dietary requirements. We don't charge for these tasting evenings and so they are only available to the bride and groom. Extra guests can be arranged but are subject to availability and will incur a charge.

What we need from you...

There are certain details and decisions we will need from you in sufficient time to ensure the smooth planning of your day. Below is a handy checklist of when we will need various information.

4 months before the wedding - Your allocated accommodation list. This will give us ample time to get in touch with your guests and take bookings on the rooms.

3 months before the wedding - Supplier information. We will need the details of any third party suppliers such as cake makers, florists, DJs or bands in order to liaise with them on timings and logistics.
Meal choices. We cannot guarantee menus or prices too far in advances due to supplier and availability changes and supplier price increases. However, 3 months prior to your event date, we can agree the menu and pricing and this is the cost you will be invoiced.

4 weeks before the wedding - Final numbers. It is at this stage that we need a commitment in terms of numbers for your final invoice. If your numbers increase after this point we cannot guarantee to accommodate. If we can, we will issue a further invoice for the additional cost. We cannot offer a credit for a decrease in numbers, however.
Final Itinerary. We will produce an itinerary with you during your final meeting to be agreed and finalised, outlining the timing and flow of the day.
Seating chart. We will need a detailed seating plan showing the location of your guests with their meal choices and/or dietary requirements.
Drinks Choices. Any pre-ordered drinks including arrival drinks will need to be finalised at this point.
